Billing, Participation, and Safety Policy

Effective Date: June 01, 2025

  1. Lab Fee (Equipment Usage)

A non-refundable, non-transferable lab fee may be charged at the start of each new course or program. This fee supports the maintenance of classroom technology, robotics kits, and related equipment. Lab fee amounts vary by program and are subject to change.

  1. Tuition

Monthly program tuition is due in full at the beginning of each month. Students may not participate in classes if tuition is unpaid. ThinnkBotics reserves the right to adjust tuition and other fees with prior notice.

  1. Late and Returned Payment Fees
  • A $25 late payment fee will apply if tuition is not received within five (5) business days of the due date.
  • A $35 returned payment fee will be charged for any dishonored or failed payments.
  • Parents/guardians are responsible for keeping valid payment methods on file.
  • ThinnkBotics may refer delinquent accounts to collections if unresolved.
  1. Withdrawal Policy
  • A 30-day written notice via email is required to withdraw from any class or program.
  • Families are responsible for tuition until the withdrawal date indicated in the written notice.
  • If no notice is given and a student stops attending, tuition for the following 30 days will still be charged to retain their enrollment spot.
  1. Refunds
  • Withdrawals during a paid period do not guarantee refunds.
  • Approved refunds may be subject to transaction fee deductions.
  • Deposits for camps or promotions are non-refundable.
  1. Billing Authorization

By submitting a payment or enrolling, you:

  • Confirm your provided payment information is valid.
  • Authorize ThinnkBotics to charge your selected payment method.
  • Acknowledge that a 30-day written notice is required to terminate billing.
  • Remain responsible for tuition until formal withdrawal notice is received.
  • Understand that disputed or reversed charges may be treated as breach of agreement and subject to fees, suspension of services, or collection actions.
  1. Attendance and Make-up Classes
  • We encourage advance notice if your child will miss class.
  • Make-up classes may be scheduled based on availability, preferably within the same week.
  • Two (2) or more unreported absences may be treated as withdrawal.
  1. Class Cancellations

If ThinnkBotics cancels a class or camp:

  • You may transfer your payment to another class/camp or request a refund.
  • Refunds may be subject to a reasonable transaction processing fee.
  1. Media Release

Photos and videos may be taken during classes for internal training, promotional materials, or social media. If you wish to opt out, please notify us in writing at registration.

  1. Arrival & Pick-Up Procedures
  • Students may arrive no earlier than 5 minutes before class.
  • Check-in and check-out must occur at the front desk.
  • Parents must pick up students on time and escort them from the building.
  • Students are not allowed to run through the parking lot. Safety is our priority.
  1. School Closure

ThinnkBotics will notify families by phone, email, or SMS in the event of closure due to weather or emergencies. Make-up sessions will be offered when possible.

  1. Health, Illness, and Injury

If a student becomes ill or is injured:

  • We will notify parents immediately.
  • Emergency medical assistance (e.g., 911) will be sought if needed.
  • Accurate emergency contacts must be kept on file.
  1. Behavior & Safety

ThinnkBotics expects respectful, safe behavior at all times. If a student’s behavior endangers themselves or others:

  • Our staff will first attempt verbal redirection or time-out.
  • Physical restraint may only be used to prevent imminent harm.
  • Parents will be contacted and the incident documented.

We reserve the right to suspend or terminate enrollment for behavioral, safety, or payment issues.

  1. Technology & Acceptable Use

When using ThinnkBotics computers and devices, students must:

  • Use technology only for class-related activities.
  • Not send offensive messages or damage equipment.
  • Not use unauthorized login credentials.

ThinnkBotics reserves the right to monitor system usage to ensure safe and responsible access. Parents may be charged for damage caused by misconduct.

  1. Non-Discrimination and Confidentiality

ThinnkBotics does not discriminate based on race, religion, or national origin. Student records are kept confidential and shared only with authorized individuals or as required by law.

  1. Communication

We primarily communicate through email, text, and phone. Please ensure your contact information is current. For meetings with instructors or staff, appointments may be scheduled.

  1. Liability Waiver

By enrolling your child, you:

  • Understand the nature of our programs and the inherent risks of hands-on tech activities.
  • Agree to hold ThinnkBotics harmless from claims arising from illness, injury, or property loss, except in cases of gross negligence.
  • Accept full responsibility for medical and emergency costs if needed.
  • Acknowledge potential exposure to contagious illnesses, including COVID-19.
  1. Agreement Acceptance

By enrolling or submitting payment, you agree to the policies, terms, and waivers outlined above. These policies are subject to change with notice.
