ThinnkBotics Billing, Participation, and Safety Policy
Effective Date: September 22, 2025
ThinnkBotics is a program operated by DIVINE ASHTA LAKSHMI LLC, doing business as ThinnkBotics (“ThinnkBotics”). By enrolling a student in our programs, you agree to the following Billing, Participation, and Safety Policy.
- Lab Fee (Equipment Usage)
A non-refundable, non-transferable lab fee may be charged at the start of each new course or program. This fee supports the maintenance of classroom technology, robotics kits, and related equipment. Lab fee amounts vary by program and are subject to change.
- Tuition
Monthly program tuition is due in full at the beginning of each month. Students may not participate in classes if tuition is unpaid. ThinnkBotics reserves the right to adjust tuition and other fees with prior notice.
- Late and Returned Payment Fees
- A $25 late payment fee will apply if tuition is not received within five (5) business days of the due date.
- A $35 returned payment fee will be charged for any dishonored or failed payments.
- Parents/guardians are responsible for keeping valid payment methods on file.
- ThinnkBotics may refer delinquent accounts to collections if unresolved.
- Withdrawal Policy
- A 30-day written notice via email is required to withdraw from any class or program.
- Families are responsible for tuition until the withdrawal date indicated in the written notice.
- If no notice is given and a student stops attending, tuition for the following 30 days will still be charged to retain their enrollment spot.
- Refunds
- Withdrawals during a paid period do not guarantee refunds.
- Approved refunds may be subject to transaction fee deductions.
- Deposits for camps or promotions are non-refundable.
- Billing Authorization
By submitting a payment or enrolling, you:
- Confirm your provided payment information is valid.
- Authorize ThinnkBotics to charge your selected payment method.
- Acknowledge that a 30-day written notice is required to terminate billing.
- Remain responsible for tuition until formal withdrawal notice is received.
- Understand that disputed or reversed charges may be treated as breach of agreement and subject to fees, suspension of services, or collection actions.
- Attendance and Make-up Classes
- We encourage advance notice if your child will miss class.
- Make-up classes may be scheduled based on availability, preferably within the same week.
- Two (2) or more unreported absences may be treated as withdrawal.
- Class Cancellations
If ThinnkBotics cancels a class or camp:
- You may transfer your payment to another class/camp or request a refund.
- Refunds may be subject to a reasonable transaction processing fee.
- Media Release
Photos and videos may be taken during classes for internal training, promotional materials, or social media. If you wish to opt out, please notify us in writing at registration.
- Arrival & Pick-Up Procedures
- Students may arrive no earlier than 5 minutes before class.
- Check-in and check-out must occur at the front desk.
- Parents must pick up students on time and escort them from the building.
- Students are not allowed to run through the parking lot. Safety is our priority.
- School Closure
ThinnkBotics will notify families by phone, email, or SMS in the event of closure due to weather or emergencies. Make-up sessions will be offered when possible.
- Health, Illness, and Injury
If a student becomes ill or is injured:
- We will notify parents immediately.
- Emergency medical assistance (e.g., 911) will be sought if needed.
- Accurate emergency contacts must be kept on file.
- Behavior & Safety
ThinnkBotics expects respectful, safe behavior at all times. If a student’s behavior endangers themselves or others:
- Our staff will first attempt verbal redirection or time-out.
- Physical restraint may only be used to prevent imminent harm.
- Parents will be contacted and the incident documented.
We reserve the right to suspend or terminate enrollment for behavioral, safety, or payment issues.
- Technology & Acceptable Use
When using ThinnkBotics computers and devices, students must:
- Use technology only for class-related activities.
- Not send offensive messages or damage equipment.
- Not use unauthorized login credentials.
ThinnkBotics reserves the right to monitor system usage to ensure safe and responsible access. Parents may be charged for damage caused by misconduct.
- Non-Discrimination and Confidentiality
ThinnkBotics does not discriminate based on race, religion, or national origin. Student records are kept confidential and shared only with authorized individuals or as required by law.
- Communication
We primarily communicate through email, text, and phone. Please ensure your contact information is current. For meetings with instructors or staff, appointments may be scheduled.
- Liability Waiver, Assumption of Risk, and Indemnity
BY ENROLLING YOUR CHILD, YOU AGREE TO THE FOLLOWING TERMS TO THE MAXIMUM EXTENT PERMITTED BY TEXAS LAW:
- EXPRESS RELEASE OF LIABILITY FOR NEGLIGENCE: You expressly release and hold harmless DIVINE ASHTA LAKSHMI LLC, doing business as ThinnkBotics, its owners, employees, and contractors from ANY AND ALL CLAIMS, INCLUDING CLAIMS ARISING FROM THE NEGLIGENCE OF THINNKBOTICS, related to your child’s participation in classes, camps, events, or use of facilities.
- Assumption of Risk: You acknowledge that robotics, coding, and related activities involve inherent risks (including but not limited to: use of tools, electronic devices, group interactions, physical activity, and potential accidents) and VOLUNTARILY ASSUME FULL RESPONSIBILITY for these risks.
- Limitation of Liability: ThinnkBotics makes NO GUARANTEE OR WARRANTY, express or implied, regarding academic performance, test scores, or outcomes.
- Indemnity: You agree to indemnify, defend, and hold harmless DIVINE ASHTA LAKSHMI LLC d/b/a ThinnkBotics against any claims, damages, costs, or attorney’s fees arising from your child’s participation, conduct, or the actions of third parties.
- Emergency Medical Authorization: You authorize ThinnkBotics to obtain emergency medical treatment for your child if necessary and agree to assume full financial responsibility for such care.
- Health Risks: You acknowledge potential exposure to contagious illnesses, including COVID-19, and accept responsibility for associated risks.
- Property Damage: You accept financial responsibility for any damage caused by your child to ThinnkBotics property, equipment, or facilities.
- Off-Site Activity Coverage: This waiver applies equally to activities or events held off-site (e.g., schools, libraries, community centers, competitions, or field trips) where ThinnkBotics is conducting programs.
- Dispute Resolution & Governing Law
This Agreement shall be governed by the laws of the State of Texas. Any disputes shall first be attempted through good-faith mediation. If mediation is unsuccessful, jurisdiction shall rest exclusively with the state courts of Collin County, Texas.
- Scheduled Breaks
ThinnkBotics observes breaks in alignment with the Prosper Independent School District (Prosper ISD) Academic Calendar.
- Winter Break and Spring Break: Classes will not be held during these periods. Exact dates may vary each year based on the Prosper ISD calendar and will be communicated in advance to all enrolled families.
- Tuition During Breaks: Monthly tuition is based on a full billing cycle of approximately four (4) weekly classes. Tuition accounts for scheduled breaks (e.g., Winter Break, Spring Break) and will not be prorated or refunded.
- Other Holidays/Closures: In addition to Winter and Spring Break, ThinnkBotics may close for major federal holidays or other events as determined by management. Any additional closures will be communicated in advance by email, text, or phone.
- Make-up Policy: Make-up classes are generally not provided for scheduled breaks, as these are pre-planned and factored into the academic calendar and tuition structure.
By enrolling, you acknowledge and agree that scheduled breaks are part of the annual program structure and that tuition remains due in accordance with the regular billing cycle during these periods.
- Agreement Acceptance
By enrolling or submitting payment, you acknowledge that you have read, understood, and accepted the above Billing, Participation, and Safety Policy, including the Waiver of Liability, Assumption of Risk, Indemnity, and EXPRESS RELEASE OF NEGLIGENCE provisions. These policies are subject to change with notice.
